 Purpose of the Job

The Procurement Assistance is part of the SNV South regional operation team, which focuses on providing procurement-related support at the South regional office to ensure the availability and quality of the procurement and contract management system to fully support SNV operations in the south region.

The main purpose of the procurement assistance is to work as part of the SNV South regional operation team and assist management of the regional procurement process. The procurement assistant is responsible for ensuring quality in procurement management support for the SNV South Regional Office.

Job Description

Support on order process, delivery, reporting and archiving

  • Receive and process orders assigned by the Procurement Specialist  
  • Support the procurement specialist on preparing quotation for required suppliers and service providers, with complete specifications, indicate closing dates to receive quotations, receive quotations and prepare a bid analysis as per the received quotations. If required, prepare purchase orders (POs) ensuring correctness and details of specifications, quantities and financial information for submission and approval.
  • Communicate with suppliers on clarifications needed and document the same.
  • Keep close relationship with finance department in the settlement of supplier invoices at regional office.
  • Support procurement specialist on Communication and keeping up-to-date procurement database on the status of procurement activities.
  • Support on collecting mandatory documents from supplier and submitted to the officer or committee in a timely manner.
  • Ensure compliance with SNV and donor procurement policies and procedures. Assist in the development of the vendor list and participate in market assessment as required.
  • Assist the Procurement in the process of prequalifying supplier and initiation of Framework agreements in the Amhara regioSupport on scanning and up scanned and uploaded in procurement share point.
  • Support receiving of items and follow up with suppliers / transporters on items missing or damaged in transit.
  • Ensure delivery dates and time is shared with the warehouse, procurement and   regional focal person well in advance before delivery of the goods.
  • Assist to ensure payment of suppliers is made promptly and that the finance department receives all the necessary documentation.
  • Any other task as assigned by the line manager or his/her direct line management.

Qualifications

Educational Qualifications and Experience

  • Bachelor's degree in Procurement and Supply Chain Management, Business Administration, Management, or a related field. 
  • A minimum of 2 or 3 years of relevant experience in procurement activities.

Additional Skills

  • Good knowledge of the procurement process.
  • Excellence in Microsoft Office applications (Excel, Word, PowerPoint) and SharePoint.

Additional Information

Contract Type: National - Full time

This position will be based on donor funding and approval confirmation.

Expected start date: 1st March 2025.

Duty Station: Hawassa.

Contract Duration: Ten months with the possibility of extension based on performance and budget availability.
