Purpose of the Job
The Logistics Specialist will be responsible for overseeing and optimizing the organization's fleet and warehouse operations. This role involves managing vehicle tracking systems, ensuring efficient transportation, and maintaining effective warehouse management practices. The primary goal is to streamline logistics processes, reduce costs, and support the overall operational efficiency of the organization by using developed ERP software.
Job Description
Operation delivery
- Organizes and integrates operational processes, optimizing the use of guidelines and procedures within projects and/or regional offices.
- Provides support services such as procurement, administration, logistics, inventory management, ICT, legal, and HR.
- Anticipates and addresses potential delivery challenges to ensure service continuity.
Fleet Management
- Oversees daily fleet operations, including vehicle maintenance, fuel management, and driver management.
- Implements and maintains a vehicle tracking system. Coordinates vehicle repairs and maintenance.
- Ensures compliance with safety regulations and legal requirements.
Warehouse Management
- Manages warehouse operations, including inventory control, storage, and distribution at regional office
- Ensures adherence to warehouse policies and procedures.
- Conducts regular stock takes and inventory audits.
General Logistics
- Coordinates with procurement and program teams to ensure timely delivery of goods and services.
- Manages transportation and shipping logistics. Manage admin and drivers at regional level
- Develops and implements logistics strategies to improve efficiency and reduce costs.
Analysis and reporting
- Maintains and updates a robust management information system
- Provides regular, insightful reports on the performance of operation support services to the Regional Office Manager.
- Ensures accurate and timely recording of fleet information, including vehicle logbooks and accident reports.
Business Development
- Assess Support Requirements
- Inform Project Implementation. Optimize Fleet Management.
- Ensure Cost-Effectiveness. Incorporate Support Costs
Advisory Service
- Assess Support Quality
- Ensure Compliance and Monitor Performance.
- Identify Improvement Opportunities
Process Development and Continuous Improvement
- Identify Improvement Opportunities areas for improvement, such as fleet management, warehouse operations, and procurement.
- Develop innovative solutions to address identified issues and enhance operational efficiency.
- Work with the Regional office Manager to optimize fleet utilization and minimize downtime.
Qualifications
Educational Qualifications and Experience
- Bachelor's degree in Procurement and Supply Chain Management, Logistics, Business Administration, Management, or a related field.
- Proven experience with a minimum of 6 or 7 years of relevant and demonstrable experience in Fleet and Warehouse Management.
Additional Skills
- Strong knowledge of fleet, warehouse, and liaison management practices.
- Training in Auto mechanics is an advantage.
- A level 2 or level 3 driving license is a basic requirement.
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint) and SharePoint. Experience with ERP systems like SAP BD.
- Strong analytical and problem-solving skills.

Additional Information
Contract Type: National - Full time
This position will be based on donor funding and approval confirmation.
Expected start date: 1st March 2025.
Duty Station: Hawassa with frequent travel to project areas.
Contract Duration: One year with the possibility of extension based on performance and budget availability.
