Job Description

The Operations Officer is responsible for supporting efficient and compliant day-to-day operations through effective coordination of procurement, logistics, and basic financial activities, while ensuring full adherence to organizational policies and donor requirements.

Key Responsibilities

  • Oversee operational activities, ensuring timely execution, efficiency, and full compliance with organizational policies and donor requirements.
  • Prepare and draft all procurement documentation in line with procurement procedures.
  • Maintain and manage the procurement SharePoint platform, ensuring all documents are properly updated, filed, and well organized.
  • Prepare purchase requests forms, petty cash requests, and other operational requisitions for the country office.
  • Process mobile money payments to project participants and conduct a 10% verification of attendance records to ensure accuracy.
  • Arrange hotel reservations and coordinate vehicle rentals from contracted service providers as required.
  • Support the procurement team in managing the delivery, collection, and follow-up of proforma invoices and supplier quotations, in accordance with established procurement guidelines.
  • Provide finance-related support, including invoice tracking and basic bookkeeping, while maintaining accuracy, confidentiality, and compliance.
  • Create and manage supplier records in SAP Business By Design, including conducting due diligence and supplier screening prior to system creation.
  • Monitor procurement timelines and follow up with internal teams and suppliers to ensure timely completion of procurement processes.
  • Support logistics planning for meetings, workshops, and field activities, ensuring smooth coordination and cost efficiency.

Qualifications

  • University degree in Procurement, Business Administration, Public Administration, HR, or related field
  • Excellent communication, organisation, and good interpersonal skills
  • Strong teamwork with ability to establish and maintain effective working relationships in a multicultural environment
  • Ability to handle visitors, direct calls professionally and efficiently
  • Proficiency in computer skills, including MS365 (E.g.: Word, Excel, PowerPoint)
  • Strong language skills in English and Kinyarwanda
  • Excellent time management and planning capacity

Additional Information

Terms of appointment:

  • Contract Type: Full time (40 hours per week)
  • Contract Duration: 1 year 
  • Expected Start Date: February 2026
